Executive Assistant to Regional VP of Retail Stores

Job Description:

The Regional VP Assistant supports the Regional Vice President (RVP) to establish best in class operating procedures in partnership with all field support functions. The RVPA will serve as an operational point of contact and will leverage corporate partnerships to support field leaders with day to day business needs. This includes reviewing and acting on email communication.

  • Create & maintain the Regional Leadership & Support Staff Schedules, including the weekly submission of payroll and tracking of PTO accruals / time off requests.
  • Schedule conferences calls, staff meetings, special store installations and ad-hoc project work as directed by the RVP in partnership with the appropriate field and corporate personnel.
  • Coordinate travel arrangements and logistics as needed, including but not limited to booking hotels, rental cars and flights.
  • Review regional expense reimbursement requests for accuracy each month prior to routing for approval.
  • Collect & reconcile all invoices (travel, temp agencies) for submission to Accounts Payable as required. Maintain directory integrity to ensure all invoices are being routed to the appropriate personnel for approval.
  • Support Region and company in report pulling, creation and some analytics
  • Consolidate HCM and Workforce Management reporting as necessary to achieve streamlined distribution of data and clear visibility throughout the field support groups and stores.
  • Maintain region-specific reference materials, calendars and Org Charts as needed to ensure operational deadlines are satisfied and proper staffing levels are achieved, including but not limited to the region work load calendar , various operational Checklists (Black Friday, Opening/Closing, etc.) , store opening /remodel /renovation calendars, holiday guides, store staffing profiles.
  • Create & distribute regional specific written communications on behalf and/or at the request of the RVP as required and in partnership with the appropriate support personnel.
  • Maintain territory personnel files in accordance with company policy; uphold record keeping and data security requirements; ensure strict confidentiality of associate personal and business information
  • Communicate & follow up on daily I-9 reporting with the appropriate field partners to ensure compliance in the completion of all associates' I-9 within 72 hours of start.

  • Supports and responds to associates in a courteous, professional, respectful, and confidential manner; promptly and politely responds to inquiries and requests for support; assists in the administration of associate relations and recognition programs as required .


  • Effectively communicates and exhibits strong interpersonal skills; demonstrates diplomacy and poise
  • Possesses strong written skills with ability to develop and executing a variety of internal and external communications; able to understand the needs of varied audiences
  • Ability to work in partnership with all support disciplines and provide leadership while prioritizing workload under moderate supervision
  • Proficiency with all Windows based office programs (Excel, Outlook, Word, PowerPoint) Microsoft Word & Excel; ability to operate HCM and timekeeping systems as required; ability to learn and leverage other systems effectively (i.e. domo)
  • Readily adjusts schedule, tasks, and priorities when necessary to meet business fluctuations. Demonstrates commitment to the organization by maintaining regular, on site attendance, is reliable and follows through with responsibilities

  • Accepts accountability to follow all safety and security procedures for self and others
  • Immediately reports unsafe conditions
  • Minimal travel requirements
