Job Description:
Summary:The receptionist/office administrator contributes to the
organization's smooth operations as the first point of contact,
greeting visitors and clients, answering phone calls, and ensuring
a welcoming environment. In addition to managing the front desk,
they provide a full range of transactional support to the human
resources team and general administrative support to other
departments.Essential Duties and Responsibilities:
- Greet visitors and operate the switchboard (i.e., incoming
calls, contacting visitors' appointments).
- Sort and deliver all incoming mail and process outgoing
mail
- Manages attendance calls, occurrences, and corrective actions
for the entire facility
- Upload communication to monitors, send communications via email
(birthdays, anniversaries, etc.)
- Manage the monthly Newsmeister newsletter
- Maintain SAP/ADP employee files
- Audits - SAP/ADP
- Manage offboarding communication with the necessary
parties
- Maintain and update onboarding folders
- Assign lockers to new hires and maintain the locker assignment
spreadsheet
- Manage the uniform program
- Process employee badges
- Process all payable and receivable HR invoices and
expenses
- Process safety shoes and safety glasses reimbursement for all
employees
- Order Supplies and maintain the stockroom organized and
clean
- Maintain employee files
- Other duties as assigned
- Schedule and coordinate hotel accommodations for vendors and
customers as needed
- As the Concur Administrator, act as the first-tier contact for
Concur support:
- Assist with Concur questions via the PMA direct contact phone
number
- Set up new employees with Concur accounts
- Maintain training records for employees
- Additional duties as needed Facilities
- Data entry may be required to support regulatory compliance for
various permits, licenses, and environmental reports
- Coordinate with 3rd third-party company to scan and archive
facility documents. Qualifications:
- Proficient in Microsoft Office Programs that include but are
not limited to: MS Word, Excel, and Outlook
- Knowledge and experience of ADP and SAP are desirable
- Must have highly developed organizational skills, including the
ability to prioritize, handle multiple tasks simultaneously, and
meet customer needs
- Strong verbal, written, analytical, and persuasive skills and
the ability to interact effectively with all levels of staff and
with contractors.
- Able to work in a fast-paced environment

- Maintain confidentialityEducation/Certification/Training:
- High school Diploma or Equivalent
- Previous administrative experience is preferredPhysical
Demands:
- While performing the duties of this job, the employee is
regularly required to stand, walk, stop, bend, and use hands to
finger, handle, or touch; frequently required to push and
pull.
- Ability to regularly lift and/or move up to 15 pounds.
- Specific vision abilities required by this job include close,
peripheral, and the ability to focus.Work environment:
- While performing the duties of this job, the employee is in a
typical office environment; occasionally exposed to noise, dust,
and chemicals.
- Safety glasses/goggles must be worn at all times while in the
designated areas of the shop. The physical demands described here
