Function: Administrative Job Summary:Under general supervision, the
Sr. Administrative Assistant provides overall administrative
support for the IT department by completing secretarial and/or
varied clerical duties. Composes routine correspondence, prepares
reports, and makes appointments and travel arrangements. The
incumbent may prepare special reports or memoranda for superiors.
May prepare and distribute minutes of meetings.Job Description: Job
Responsibilities:
- Is responsible for passing information to appropriate personnel
by preparation of basic/standardized reports or ensuring the
security of the information within the department.
- Is responsible for editing and formatting information as
appropriate. May be responsible for composing or creating original
work.
- Has limited authority to change content or context of
information without approval from superior.
- Research and tracks routine and non-routine information.
- May need to obtain the information from a variety of sources
and some of the information may be of a sensitive or confidential
nature.
- Main contacts for information are at peer level to mid
management level.
- May perform basic analysis to ensure data conforms to CF
standards. Establishes and maintains departmental filing system.
(Some information may be of a high level of sensitivity or may be
confidential in nature.)
- Picks-up and delivers mail and other department materials
daily.
- Screen CIO phone calls and provides messages when needed.
- Budget responsibility consists mainly of consolidating data
into final report and may review, log and or process incoming
invoices to ensure billing is done correctly and in accordance with
policy and the annual budget.
- Prepares monthly credit card consolidation for IT purchases.
Prepares domestic and international travel reservations and
itineraries.
- May coordinate superiors/department members' appointments or
assist with scheduling meetings during their travels. Completes
expense reports upon return.
- Responsible for scheduling, preparing, and facilitating
logistics for daily, weekly, monthly, and quarterly meetings for
CIO and IT department.
- Maintains the CIO's daily calendar by working with peers to
schedule time accordingly.
- Responsible for creating, maintaining, and publishing IT
documents for IT and all of CF.
- Prepares agendas and participates in IT Staff meetings on a
weekly basis. Responsible for catering and facilitating logistics
for anniversaries, celebrations, and other meetings as
necessary.
- Maintains a close working relationship with the CIO and IT
Directors to assist with additional tasks as requested. Other
duties as assigned.
- Understands and complies with established departmental
processes and procedures designed to support internal controls
efforts.
- Identifies and brings to the attention of department management

deficiencies. Successful incumbents will have:--- High School
Diploma or equivalent education is required with some additional
education in general business support areas such as Accounting or
bookkeeping preferred--- Minimum of 5 years of office experience in
an administration assistant role preferably in a corporate
environment.--- Strong typing skills (minimum of 45 wpm) with good
writing and editing skills--- Basic understanding of PC operation
and applicable software, along with the ability to format standard
forms, memos, letters as well as set up and use spreadsheets---
Proficiency in basic office procedures--- Ability to work for and
take direction from several individuals in middle management
Position Scope/Contribution:This position reports directly to the
CIO and supports a department of 150 employees that work in a
variety of locations and have significant amounts of travel. The
incumbent should be able to problem solve and work independently
