and a positive, get-it-done attitude. The objective of the Office
Coordinator is to support the Administration Department and
Executive Team with various office management, technology, travel,
and human resource needs. Job Duties and Responsibilities include:
-- Pay bills and maintain ledgers -- Send, receive and process
accounts receivable / client invoicing and bank deposits --
Analyze, review, and reconcile expense reports submitted by
employees for accuracy and proper coding via Expensify and
QuickBooks -- Complete executive expense reports monthly and other
personal assistant duties for Company Executives -- Order and
manage office supply requests -- Support Executives in scheduling,
personal planning and -- Manage the proper record keeping for the
company---s office and computer equipment inventory -- Work with
Operations Manager to ensure HQ maintenance contracts are updated
annually and are in compliance with company policies -- Support COI
requirements for clients and vendors -- Serve as the liaison on all
IT staff requests -- Distribute mail -- Book travel for full and
part-time staff at tradeshows, including airfare, hotels, and
ground transportation; manage and update show budgets and
itineraries -- Supports employees with any questions, requests, or
other matters relating to travel bookings. -- Perform other duties
as assigned Desired Qualifications: -- An associate degree --
Bookkeeping experience (2 years) -- Possesses strong computer
skills with demonstrated proficiency in standard business software
packages (e.g., Microsoft Office) -- Intermediate or higher
knowledge of Excel. Must be able to utilize Excel to create reports
and represent data efficiently to ease user understanding and
utilization. -- Experience with QuickBooks is a plus --
Demonstrated integrity and confidentiality -- Strong interpersonal,
analytical, and problem-solving skills -- Ability to communicate
effectively, verbally, and in writing -- Strong attention to detail
-- A can-do attitude, willingness to learn from others, and ability
to work in a team-oriented environment -- Strong organizational
skills, ability to prioritize tasks, and proactively meet tight
deadlines -- Due to client restrictions, candidates cannot have
